Purpose of the Role
The Administrative and Communications Assistant will provide efficient
and high-quality administrative support to the Office of the Managing
Director while offering routine operational support to the PR
and Communications function.
The role is primarily administrative, with communications
responsibilities focused on coordination, logistics, documentation, and basic
content support rather than strategic communications planning.
Key Responsibilities
A. Administrative Support to the Office of the Managing Director
The successful candidate will be responsible for:
· Managing
the day-to-day administration of the Managing Director’s
office, including scheduling, diary management, and meeting coordination;
· Providing
logistical and administrative support for meetings of
governing organs, including venue coordination, invitations, materials
preparation, and follow-up actions;
· Drafting,
formatting, filing, and organizing routine and official correspondence,
reports, presentations, briefing notes, internal notices, memoranda, and
emails;
· Organizing
meetings, circulating documents in advance, and ensuring:
o
Approved minutes are circulated for signature;
o
Signed minutes are tracked and properly filed;
· Coordinating
travel arrangements, appointments, and logistics for the
Managing Director when required;
· Maintaining
a confidential and well-organized filing system (both physical
and electronic);
· Serving
as the first point of contact for internal and external
stakeholders engaging the Managing Director’s office;
· Tracking
deadlines, submissions, pending actions, and follow-ups related to the Managing
Director’s assignments;
· Handling
routine calls, visitors, and inquiries professionally and referring matters
appropriately.
B. Communications Support
Under the guidance of the PR and Communications Manager, the Assistant will:
· Support
planning and logistics for communications activities, meetings, and
institutional events, including the General Assembly;
· Collect
inputs, success stories, photos, and basic information from departments for
communications use;
· Conduct
basic monitoring of media mentions and social media engagement
and prepare simple tracking reports;
· Coordinate
with service providers such as designers, printers, videographers, and media
houses for routine tasks;
· Support
basic content creation for:
o
Internal and external communications;
o
Quarterly newsletters;
o
Social media posts, as directed.
C. Office Coordination and General Support
· Support
coordination between the Managing Director’s Office and internal departments;
· Assist
in organizing institutional events, workshops, and official functions;
· Perform
other administrative and coordination duties as assigned.
Key Deliverables
· Efficient
and well-structured administrative support to the Managing Director’s office;
· Timely
preparation, circulation, and filing of official documents and meeting outputs;
· Accurate
record-keeping and tracking of administrative and communications activities;
· Effective
coordination support for institutional communications initiatives.
Qualifications and Experience
Academic Qualifications
· Bachelor’s
degree in:
o
Business Administration
o
Office Management
o
Marketing
o
Communications
o
Or a related field
Professional Experience
· Minimum
of 3 years of progressive professional experience in:
o
Office administration;
o
Executive or senior management support;
o
Communications or marketing responsibilities;
· Experience
gained in corporate, financial, cooperative, or institutional
environments is an added advantage.
Demonstrated Experience In:
· Supporting
senior management offices;
· Managing
schedules, diaries, meetings, and logistics;
· Drafting
routine correspondence, internal communications, and office memoranda;
· Supporting
communications activities, including social media and basic content creation;
· Planning
and coordinating events and institutional functions.
Skills and Competencies
· Strong
administrative and organizational skills with high attention
to detail;
· Excellent
written and verbal communication skills;
· Ability
to manage multiple tasks, priorities, and deadlines effectively;
· High
level of professionalism, discretion, and confidentiality;
· Proficiency
in MS Office applications and basic digital collaboration
tools;
· Ability
to work independently while following clear instructions;
· Strong
interpersonal and coordination skills with diverse stakeholders.
