Role Overview: Office & Procurement Assistant

The Office & Procurement Assistant (OPA) will support the Rwanda country office by managing core administrative, procurement, and logistics functions. Working closely with the Office and Procurement Manager, this role ensures smooth office operations, proper asset management, and efficient vendor coordination across Kigali and field offices.

This position is ideal for professionals who are highly organized, detail-oriented, and motivated to support humanitarian operations behind the scenes.

Key Responsibilities

Procurement & Vendor Management

·       Support procurement of office supplies, equipment, and operational inventory

·       Assist with the implementation and adherence to GiveDirectly’s procurement policies

·       Coordinate with vendors on delivery, repair, servicing, and maintenance of assets

·       Support procurement of equipment used by field officers and mobile phones used by program recipients

Inventory & Asset Management

·       Maintain accurate and up-to-date records of all organizational assets

·       Enforce asset tracking, safe storage, and staff accountability protocols

·       Recommend timely replacement or repair of damaged or outdated assets

·       Ensure insurance coverage for phones and other high-value equipment

Office Management & Administration

·       Manage petty cash and mobile money accounts with proper documentation and reconciliation

·       Track expenditures in an organized, transparent, and auditable manner

·       Support sourcing, setup, and administration of multiple field offices

·       Liaise with landlords and service providers for maintenance and office upkeep

·       Ensure day-to-day office operations run smoothly and efficiently

Logistics & Management Support

·       Process miscellaneous payments to vendors and staff when required

·       Provide logistical support for team events, retreats, and meetings

·       Coordinate arrangements for high-priority visitors

·       Provide administrative and travel support to the management team

Qualifications & Experience

Education

·       Bachelor’s degree in Business Administration, Procurement, Logistics, Office Management, or a related field

Experience

·       Minimum of 2 years’ experience in office administration, procurement, logistics, or a similar support role

·       Experience working in NGOs, multi-office, or field-based environments is a strong advantage

·       Prior experience supporting management teams and working with multiple vendors preferred
