Position
Summary: SG Administrative Assistant
The Savings Group (SG)
Administrative Assistant provides high-quality administrative,
logistical, and coordination support to the Savings Group Programs
department. This role is critical in ensuring smooth operations, effective
communication, strong reporting systems, and well-organized team activities.
The position is based in Kigali,
Rwanda, and supports both local and international team members.
Key
Responsibilities
1.
Mission & Values
- Actively promote and contribute to the mission,

Administrative & Logistical Support
- Manage and schedule department-wide meetings,
ensuring calendars are accurate and up to date
- Facilitate calendar management for the
department and the Senior Director
- Develop meeting agendas, take detailed notes, and
circulate follow-up action items
- Track and follow up on assigned action points with
relevant teams
- Provide general administrative support including
scheduling, communication, and documentation
- Support team leads in building strong team culture
through retreats, gatherings, and engagement activities
3. Reporting & Performance Tracking
- Monitor and report progress against departmental
strategic plan goals
- Manage and update KPIs and strategic dashboards
for the Savings Group network
- Prepare reports and presentations for senior
leadership and SG leaders
- Ensure accurate documentation of departmental
achievements and milestones

Financial & Fund Administration
- Complete monthly credit card expense reports in
a timely and accurate manner
- Monitor the SG Capacity Accelerator Fund
- Facilitate approval processes and communications in
line with HOPE policies

Travel & Logistics Support
- Assist with travel planning, bookings, and visa
arrangements for team members
- Coordinate with security teams and travel insurance
providers to ensure safe travel
- Support traveling staff before, during, and after trips
- Coordinate delivery of materials and items to field
staff

Event Planning & Coordination
- Organize logistics and communications for in-person
and virtual departmental events
- Lead planning and content organization for team
meetings, retreats, and workshops
7.
Project Management Support
- Support leadership in prioritizing requests and
maintaining smooth workflows
- Provide administrative and project coordination support
using project management tools
- Track project timelines and ensure deliverables meet
quality and deadline expectations
Required
Qualifications
- Personal confession of Christian faith and commitment to HOPE International’s mission
- Strong organizational and project management skills
- Excellent time management with ability to handle
multiple deadlines
- High level of confidentiality and attention to
detail
- Strong customer service mindset with enthusiasm for
serving in a support role
- Clear, encouraging, and professional communication
skills
- Proficiency in Microsoft Office (Word, Excel,
Outlook, PowerPoint)
- Ability to improve systems and administrative processes
- Bachelor’s Degree
in Administration, Business, Management, or a related field
- Experience managing calendars, schedules, or
administrative support roles (preferred)
- International or cross-cultural experience is a strong advantage
