About the Opportunity
Reporting directly to the Chief Financial Officer (CFO),
the Executive Assistant plays a critical role in enabling executive leadership
effectiveness across the Finance function. This position goes far
beyond traditional administrative work.
You will act as a trusted partner, strategic
coordinator, and professional gatekeeper, ensuring
that the CFO’s time, communications, travel, and engagements are managed with
precision, confidentiality, and strategic awareness.
The role requires someone who understands how senior leadership
operates in global NGOs, can anticipate needs before they arise, and
is comfortable handling sensitive information at the highest level.

Key Responsibilities
Executive & Calendar Management
· Manage
the CFO’s complex calendar across regional and global time zones
· Align
meetings with strategic priorities, deadlines, and work plans
· Serve
as a professional gatekeeper while ensuring effective access to leadership
Meetings & High-Level Coordination
· Coordinate
meetings from start to finish, including scheduling, logistics, agendas, and
materials
· Take
accurate minutes and ensure timely follow-up on action items
· Ensure
the CFO is fully briefed and prepared for all engagements
Global Travel & Logistics
· Manage
complex international travel arrangements including flights, accommodation,
visas, immunizations, and ground transportation
· Coordinate
closely with the travel team and office coordinator
Communication & Correspondence
· Draft
and manage professional correspondence on behalf of the CFO
· Monitor
and manage executive email with high attention to detail and confidentiality
Financial & Administrative Support
· Prepare
and submit expense reports in compliance with organizational policies
· Provide
administrative support to budgeting, forecasting, and financial management
processes
Records & Knowledge Management
· Organize
and maintain Finance records, reports, databases, shared drives, and SharePoint
sites
Stakeholder Engagement
· Build
strong working relationships with internal teams, partners, and external
stakeholders
· Liaise
with Public Affairs and Communications teams to support information flow
Team Collaboration
· Provide
backup support to other executive assistants when required

Required Qualifications
· College
diploma or university degree
· 3–5
years of experience as an Executive or Administrative Assistant
· Experience
