Working directly under the General
Manager, the HR & Administration Officer is the heart of people
operations. You will drive recruitment, employee engagement, performance
management, training, HR compliance, and day-to-day administration while
ensuring the company remains efficient, compliant, and people-centered.
This role requires someone who is
structured, ethical, emotionally intelligent, and committed to excellence.
Key Responsibilities

Human Resources Management
Recruitment
& Talent Acquisition
You will lead the full hiring cycle:
- Job advertising & shortlisting
- Interview coordination
- Background checks
- Contract drafting & onboarding
- Probation monitoring
Your decisions will directly
influence the quality of talent entering the company.
Employee
Records & Compliance
- Maintain complete employee files
- Update leave records, performance data & contract
changes
- Review daily attendance for non-management and seasonal
staff
- Support GM in leave planning and HR compliance
Compensation,
Payroll & Benefits
- Submit accurate payroll inputs monthly
- Liaise with Finance regarding medical insurance
- Provide HR data for annual budgeting cycles
HR
Policy Advisory
- Guide line managers on best HR practices
- Support grievance handling & disciplinary cases
- Draft official HR letters: warnings, show causes, memos
Performance
Management
- Assist in KPI setting
- Review performance appraisals
- Develop performance improvement plans
- Issue performance review letters
Learning,
Training & Staff Engagement
- Conduct training needs assessments
- Implement training plans
- Conduct employee satisfaction surveys
- Support employee well-being initiatives
Policy
Implementation & Health & Safety
- Conduct policy awareness sessions
- Ensure compliance with HR & HSE standards
- Support investigations into safety incidents
Employee
Exit & Offboarding
- Manage resignations, retirements & terminations
- Conduct exit interviews
- Prepare clearance documents & final dues
Strategic
HR Initiatives
- Work with the Regional HR Head on new HR projects
- Improve HR systems, processes, and staff experience

Administration & Office Coordination
Front
Office & Visitor Management
- Receive farmers, guests & visitors with
professionalism
- Manage incoming/outgoing correspondence
Internal
& External Communication
- Liaise with staff, partners & community
stakeholders
- Ensure efficient information flow and timely feedback
Asset
Management & Logistics
- Support Finance in tagging and auditing company assets
- Coordinate repairs, maintenance, and asset tracking
Event
& Visit Coordination
- Organize logistics for high-profile visits, meetings,
and events
Security
& Emergency Support
- Manage third-party security providers
- Liaise with law enforcement and emergency services
Other

- Perform additional tasks assigned by management
Qualifications, Experience & Key Competencies
Minimum
Academic Requirement
- Higher National Diploma in Human Resource Management
Required
Experience
- Minimum 3 years in HR or administration
Skills
& Attributes
- Strong knowledge of labor laws
- Excellent communication in English & Kinyarwanda
- High integrity & confidentiality
- Good MS Office skills
- Ability to work in a rural setting
- Strong organizational and interpersonal skills
