Position Summary: Sales & Administrative Assistant

Work Model: Hybrid (3 days in office, 2 days remote)
Location: Kigali, Rwanda
Type: Full-time (40 hours/week)
Deadline: December 5, 2025

As a Sales & Administrative Assistant, you will support sales operations, handle commercial documentation, assist in KPI reporting, and ensure smooth coordination between internal teams and clients.

This role is perfect for someone who thrives in fast-paced, cross-functional, and technology-oriented settings.

Key Responsibilities

1. Sales Support & Commercial Administration

You will be responsible for ensuring efficient sales processes, including:

  • Preparing customer quotations
  • Managing the quotation-to-invoice cycle
  • Coordinating timesheets and billing
  • Working closely with Sales, Delivery, and Accounting
  • Ensuring all documentation meets strict deadlines

2. Account & Operational Administration

This includes supporting day-to-day operations for delivery managers:

  • Compiling KPI reports and dashboards
  • Monitoring performance metrics (velocity, productivity, etc.)
  • Managing risk tracking and follow-ups
  • Preparing stakeholder presentations
  • Handling scheduling, calendars, and meeting logistics
  • Coordinating travel arrangements

Qualifications & Experience

Required

  • Bachelor’s degree in Business Administration or related field
  • 3+ years’ experience in sales support, project coordination, or business operations
  • Excellent English communication skills (written & verbal)
  • Strong skills in Microsoft Office tools (especially Excel & PowerPoint)
  • Ability to prioritize and manage multiple tasks simultaneously
  • Strong interpersonal and stakeholder management skills
  • Familiarity with Jira and Confluence is a plus
  • Proactive, structured, and solution-oriented mindset

Good to Have

  • Experience in IT or service-oriented environments
  • Exposure to KPI dashboards and reporting tools
  • Experience supporting cross-functional global teams
