Core Role Overview
The Senior Specialist to the Management
plays a central role in ensuring the Country Director’s office operates with
precision, confidentiality, and strategic clarity. The position acts as the
executive backbone of leadership, ensuring decisions are communicated, tracked,
and converted into meaningful actions across clusters and service units.
This is not a routine administrative role — it is a strategic
anchor position requiring intelligence, diplomatic tact, strong
analytical capability, and cross-organizational coordination excellence.
Key Responsibilities
1 Strategic Coordination
& Executive Leadership Support
You will support the Country Director through a wide range of high-level
strategic responsibilities, including:
· Preparing
briefing materials, speeches, background notes, and decision templates for
high-level engagements.
· Ensuring
timely follow-up on directives and decisions communicated on behalf of
Management.
· Coordinating
the Extended Management Team: drafting agendas, gathering inputs, taking
accurate minutes, and tracking action points.
· Providing
analytical insights on economic trends, portfolio dynamics, and sector
developments.
· Drafting
polished strategic briefs on priority topics such as digital transformation,
green growth, SME competitiveness, governance reform, and more.
· Coordinating
high-level visits, protocol requirements, and national-level engagements.
· Serving
as the liaison between GIZ leadership, national authorities, development
partners, and internal units.
· Preparing
concise summaries, reports, meeting notes, and communication materials.
· Managing
sensitive oral and written communications with utmost professionalism.
2 Operational, Logistical
& Organizational Support
· Supervise
and coordinate the activities of office support staff to ensure efficient
service delivery.
· Support
the Country Director’s missions and engagements through seamless logistical
planning.
· Assist
in travel management when required, including reservations, reimbursements, and
itineraries.
· Handle
visitor management with professionalism and diplomatic courtesy.
· Ensure
smooth administrative processes around high-level meetings, missions, and
strategic engagements.
· Contribute
to knowledge management systems, communities of practice, and organizational
learning.
· Perform
additional duties as assigned by the Country Director (CD) or Senior Portfolio
& Finance Manager (SPFM).
Required Qualifications, Skills & Competences
Academic Background
· Bachelor’s
degree in Social Sciences, Business Administration, Development Management, or
similar fields.
Professional Experience
· Minimum
10 years of progressive professional experience in
development cooperation, private sector engagement, institutional leadership,
or coordination roles.
· Strong
understanding of GIZ systems, partnerships, and governance processes.
Key Competencies
· Exceptional
organizational, time-management, and multitasking abilities.
· Strong
analytical skills with the ability to turn complex information into
high-quality executive summaries.
· High
level of confidentiality, discretion, and independent decision-making.
· Excellent
interpersonal and stakeholder engagement skills.
· Strong
facilitation and coordination experience across sectors.
· Outstanding
writing, editing, and communication abilities.
· Advanced
knowledge of Microsoft 365 and digital collaboration tools.
Language Requirements
· Excellent
English (required)
