Admin Coordinator to support a flagship Youth
Agribusiness & Climate-Smart Agriculture initiative in

Based in Kigali, the Project Admin
Coordinator will play a central role in ensuring smooth project implementation,
administrative excellence, and compliance with donor requirements. This

Key Responsibilities
1. Administrative &
Operational Support (30%)
· Lead
day-to-day administrative operations including scheduling, documentation, and
official correspondence.
· Maintain
well-organized records of project activities, contracts, and deliverables for
monitoring and evaluation.
· Ensure
effective communication between field teams, technical staff, and senior
management.
· Provide
operational support to technical teams, ensuring all activities are implemented
on schedule and in compliance.
2. Procurement &
Logistics Coordination (25%)
· Assist
in procurement processes by coordinating vendors, tracking purchases, and
ensuring compliance with procurement policies.
· Oversee
logistics for workshops, training sessions, and field missions—transport,
accommodation, venue booking, and minute-taking.
· Maintain
and track project inventory, ensuring timely availability of required
materials.
· Support
field teams with timely delivery of goods and services essential for project
implementation.
3. Financial &
Compliance Support (20%)
· Collaborate
with the finance team on expense tracking, reconciliation, and financial
reporting.
· Ensure
all administrative activities comply with donor requirements, internal
procedures, and audit standards.
· Support
budget monitoring processes and contribute to financial planning, procurement
forecasting, and audit preparations.
4. Reporting &
Documentation (15%)
· Assist
in preparing high-quality monthly, quarterly, and annual project reports.
· Document
field activities, compile success stories, and capture lessons learned to
support adaptive learning and donor communication.
· Maintain
a structured documentation system for easy retrieval and high-quality
record-keeping.
5. Additional
Responsibilities (10%)
· Participate
in project planning, review meetings, and cross-departmental coordination
sessions.
· Support
ad hoc tasks assigned by the Project Manager that contribute to efficient
project delivery.
· Contribute
to a positive team culture that values accountability, transparency, and
continuous improvement.
Required Qualifications
Educational Background
· Bachelor’s
Degree in Business Administration, Project
Management, Development Studies, or
related field.
Experience & Competencies
Minimum Experience
· 3–5
years of experience in project administration,
preferably within development, NGO, agriculture, or donor-funded project
environments.
· Demonstrated
ability to manage multiple tasks under tight deadlines.
· Strong
communication skills in English and Kinyarwanda;
knowledge of French is a strong asset.
· Proficiency
in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Experience
with project management platforms such as Asana, Trello, or MS
Project.
Desirable Skills
· Strong
organizational and multitasking abilities with exceptional attention to detail.
· Experience
coordinating logistics, procurement, and field operations.
· Knowledge
of donor compliance, procurement procedures, inventory management, and
reporting standards.
· Ability
to collaborate with diverse stakeholders including government agencies, donors,
partners, and field teams.
· Capable
of preparing clear reports, managing documentation systems, and supporting
communications outputs.
· Understanding
of agriculture, youth development, and climate-smart practices is an added
value.
