summary

Location: Kigali, Rwanda

Water Access Rwanda is seeking a SUPER responsible, intuitive, and passionate Executive Assistant to directly support our CEO. This is not your typical assistant role—you will be the backbone of the CEO’s productivity, ensuring that every routine task is handled smoothly so that the CEO can focus on strategic growth.

If you thrive in a fast-paced, ever-changing environment and love making things happen, this role is for you.

What You Will Do

As the Executive Assistant, you will provide personalized secretarial and administrative support on a wide variety of assignments related to the CEO’s life, business responsibilities, and stakeholder relationships.

Your work will include:

Key Result Areas

  • Information Management: Transcribe, research, file, analyze, and organize data (digital & physical).
  • Relationship Management: Source, nurture, and maintain warm relations with stakeholders.
  • Administrative Support: Manage logistics, office needs, and ensure smooth operations.
  • Public Relations: Manage first impressions, appearances, and media interactions.
  • Time & Task Management: Organize schedules, meetings, travel, and correspondence.

Detailed Responsibilities

  • Act as the primary point of contact between the CEO and external/internal stakeholders.
  • Screen and direct communications (emails, calls, mail) to reduce distractions.
  • Manage the CEO’s calendar, prepare for meetings, take minutes, and follow up on action points.
  • Draft, analyze, and edit correspondence, reports, presentations, and briefs.
  • Devise and maintain filing and signature management systems.
  • Handle errands, sourcing, and small tasks that boost CEO productivity.
  • Proactively read and research industry trends to provide informed insights.
  • Support HR management tasks: maintaining personnel records, process audits, and compliance tracking.
  • Always look for ways to make the CEO’s work more effective and efficient.

What We Expect From You

This role requires someone who is self-driven, adaptable, detail-oriented, and growth-minded. You will not just be an assistant—you will be a partner in success for the CEO.

  • Be passionate about helping the CEO shine by making routine work disappear “like magic.”
  • Be a fast learner with strong problem-solving skills.
  • Balance proactive communication with making work easier, not harder.
  • Have an exit plan within two years: this role is meant to be a springboard for bigger responsibilities.

Requirements

  • Excellent knowledge of Microsoft Office and digital workplace tools.
  • Strong organizational and time management skills.
  • Excellent written & verbal communication in English, French, and Kinyarwanda.
  • Avid reader, eager to keep up with industry and social trends.
