Key Responsibilities:
As the Head of Central Secretariat, you will be responsible for ensuring the
smooth operation of all documentation and communication within MINICOM. Below

1. Correspondence
Management
· Receive,
record, and dispatch all incoming and outgoing correspondences via the
Ministry’s official email and SmartAdmin system.
· Ensure
that documents are routed to the right departments or officials in a timely
manner.
2. Supervision
of Daily Secretariat Operations
· Organize,
supervise, and monitor the day-to-day workflow of the central secretariat.
· Ensure
that administrative tasks are handled efficiently and with professionalism.
3. Coordination
and Document Flow
· Track
and follow up on the proper handling and circulation of correspondences and
documents.
· Prevent
delays by monitoring pending communications.
4. Filing
Systems Management
· Establish
and maintain both digital and physical filing systems

that documents are easy to retrieve whenever required.
5. Distribution
of Official Documents

7. Reporting

and submit regular reports (monthly and quarterly) on the activities and
performance of the central secretariat.
