Key Responsibilities:

As the Head of Central Secretariat, you will be responsible for ensuring the smooth operation of all documentation and communication within MINICOM. Below are the detailed responsibilities:

1.     Correspondence Management

·       Receive, record, and dispatch all incoming and outgoing correspondences via the Ministry’s official email and SmartAdmin system.

·       Ensure that documents are routed to the right departments or officials in a timely manner.

2.     Supervision of Daily Secretariat Operations

·       Organize, supervise, and monitor the day-to-day workflow of the central secretariat.

·       Ensure that administrative tasks are handled efficiently and with professionalism.

3.     Coordination and Document Flow

·       Track and follow up on the proper handling and circulation of correspondences and documents.

·       Prevent delays by monitoring pending communications.

4.     Filing Systems Management

·       Establish and maintain both digital and physical filing systems to ensure accuracy, organization, and accessibility.

·       Guarantee that documents are easy to retrieve whenever required.

5.     Distribution of Official Documents

·       Ensure timely dissemination of official documents to relevant stakeholders and staff.

6.     Safeguarding Official Materials

7.     Reporting

·       Prepare and submit regular reports (monthly and quarterly) on the activities and performance of the central secretariat.

·       Advanced Diploma in:
Secretarial Studies or Office Management.

·       Bachelor’s (A0) in:
Office Management and Administration.
